Access Permit Management - Managers Guide

The Managers or Admin Guide contains information on how to use the Access Permit Management feature in International Towers Partner Portal Website.

 


Accessing Access Permit Management

Access Permit Management can be accessed via “ITDE Manager” on the left pane of main navigation. For the Access Permit Management to be available under “ITDE Manager”, the user should have the “Access Permits Management” access in People management.

  1. Log-in to International Towers (IT) Partner Portal site.
  2. On the left pane navigation, click the arrow icon beside “ITDE Manager”.
  3. Click Access Permit Management.

Giving “Access Permit Management” access to certain user

  1. Log-in as Super Admin.
  2. On the left pane navigation, click the arrow icon beside “ITDE Manager”.
  3. Click “People Management”.
  4. In “People Management”, go to “User Type Management”.
  5. Select a “User Type”.
  6. Under “Access to Area”, click check on “Access Permits Management” to give “Access Permit Management” access to this user type.
  7. Click check on “View Analytics” to give the user access to “Analytics” tab in “Access Permit Management”.
  8. Click check on “View Contractors List” to give the user access to “Contractors List” tab in “Access Permit Management”.
  9. Click “Save” under “Role Admin”.
  10. Log out and log-in back using the user type from Step 5.
  11. On the left pane navigation, click the arrow icon beside “ITDE Manager”.
  12. Click “Access Permit Management” to see Access permit management section.

Adding / Removing Partner Portal Member as IT Approver

Super admin can add a Partner Portal member as an approver on access permit request. To do this Super admin needs to go to “People Management” > “Access Permit Approvers” and add it from there.

Here are the steps:

  1. As super admin, log-in to partner portal.
  2. Go to “ITDE Manager” > “People Management”.
  3. In “People Management”, Click “Access Permit Approvers” tab.
  4. In “Access Permit Approvers” tab, click “Add an Approver” button.
  5. Approver box will appear below the button.
  6. Select Precinct of the approver you want to add under “Precinct*” drop-down.
  7. Select Organisation of the approver you want to add under “Organisation*” drop-down.
  8. Select Name of the approver under “Name*”.
  9. Select the required approval role under “Access Form and Approval Role”, for example: “Access Permit Application” > “Property Manager (sub item)”.
  10. The sub items need to be selected in order to save the approver role properly.
  11. Click “Add” at the bottom left.
  12. A success message will appear.
  13. The Partner portal member will receive email notification.
  14. You could also edit the roles by searching the name of the approver again, adding /removing some roles and save.

Removing Partner Portal Member from IT Approver list

  1. As super admin, log-in to partner portal.
  2. Go to “ITDE Manager” > “People Management”.
  3. In “People Management”, Click “Access Permit Approvers” tab.
  4. Search the approver name you want to edit or remove using the search field.
  5. After finding the user, click the “X” button under Edit/Removes.
  6. Click “Proceed” in the confirmation dialog.
  7. The name of the user will no longer listed as an approver.
  8. The relevant Partner portal member will receive an email notification of the approval role removal.

Adding / Removing Partner Portal Member as Tenant Approver

Super admin can add a Partner Portal member as a tenant approver on the access permit request. To do this Super admin needs to go to “People Management” > “Tenant Approvers” and add it from there.

  1. As super admin, log-in to partner portal.
  2. Go to “ITDE Manager” > “People Management”.
  3. In “People Management”, Click “Tenant Approvers” tab.
  4. In “Tenant Approvers” tab, click “Add a Tenant Approver” button.
  5. Approver box will appear below the button.
  6. Select Precinct of the approver you want to add under “Precinct*” drop-down.
  7. Select Organisation of the approver you want to add under “Organisation*” drop-down.
  8. Select Name of the approver under “Name*”.
  9. Click “Add” at the bottom left.
  10. A success message will appear.
  11. The Partner portal member will receive an email notification of the new approval role.

Assign External Contractor Access Permit Request to an Organisation

Before the flow for general external form submission works, admin needs to prepare these few things below:

  1. Admin creates “External Organisation” organisation.
  2. Admin give service packages to the “External Organisation” organisation, in this service
    package admin needs to include:
    1. Mobile Dock.
    2. Access Permit Request.
  3. Admin could enable the invitation button based on the organisation, to do that:
  4. Admin opens “ITDE Manager” > “Organisation Management”.
  5. Select an organisation.
  6. In organisation details, go to “Services & Packages”.
  7. Edit existing Service package or create a new one.
  8. Click “Access Permit Request”.
  9. Give check on “Send Access Permit Request Link To a Contractor”.
  10. Save the package.
  11. The user for the relevant organisation will now be able to invite external contractor as General External user to submit a form if the service is enabled for them.

Creating Access Permit Request as a Service for General User

In order to make the Access Permit Request available for general user, Super admin need to create a service for it and enable it for the organisation and user.

Here are the steps:

  1. Login as Super Admin.
  2. Go to “ITDE Manager” > “Services Management”.
  3. In Services Management, Click “Add a Service”.
  4. In “Add or Edit Service” Upload Service icon .
  5. Input the name of the service under “Name *”.
  6. Input Relationship manager name under “Relationship Manager *”.
  7. Input Service manager email under “Service Manager Email *”.
  8. Click “Service Category *” drop-down.
  9. Select “Operations & Management”.
  10. Click “Service Type *” drop-down.
  11. Select “Site Access Permit”.
  12. Complete “Service Partner” information.
  13. Click Save button at the bottom right floating button group.
  14. In “Add or edit service” Go to “Technology” tab.
  15. Click “Integration type” drop-down.
  16. Select “Embedded” drop-down.
  17. Give check on “Show on Services Menu”.
  18. In “URL Embed”, paste in the access permit service URL into it.
  19. For test site: https://test.partnerportal.internationaltowers.com/services/site-access-permit.
  20. For stage-v4https://stage-v4.partnerportal.internationaltowers.com/services/site-access-permit.
  21. For prod: should be https://partnerportal.internationaltowers.com/services/site-access-permit.
  22. Click Save.
  23. Go to Rate schedule tab.
  24. Create rate and discount (this step is needed to enable assigning this service into organisation).
  25. Save.
  26. Go to “ITDE Manager” > “Organisation Management”.
  27. Select and edit an organisation.
  28. Click “Services & Packages”.
  29. Select active package.
  30. Activate “Access Permit Request”.
  31. Select the discount rate, start date, expiry date.
  32. Click Save.
  33. Go to “ITDE Manager” > “People Management”.
  34. In People List, search a user from previous organisation in previous step.
  35. Click edit on intended user account.
  36. Go to “Services & Packages”.
  37. Under “ITDE Services at Organisation Level”, activate “Access Permit Request”.
  38. Save.
  39. The particular user should now able to see the Access Permit Request under Services.
